Location: London

Hours: Mon - Fri 40 HPW

Salary: 45K DOE

The job holder will be based on the site of an extremely fast paced and dynamic customer and hold full operational responsibility for delivery of TFM Services through both self-delivery and Service Partners across their Estate.

Reporting directly to the Pareto Account Manager and Senior Client Team, to manage and develop a Workplace Experience that meets and exceeds customer expectation.

Developing and leading a Multi-Skilled Team in delivery an excellent customer experience, whilst ensuring all services are delivered to contract and legal requirements.

A centre of expertise for customers, ensuring the smooth operation of hard and soft services and general facilities and premises functions through the provision of developed technical skills.

  • Job holder will work in close conjunction with the Customer Team ensuring excellent performance standards are achieved and maintained across all areas of Facilities & Premises management.
  • The job holder must be prepared to travel to all premises within the group property portfolio from time to time and contribute to the success of the overall FM Operation. This will include providing hands on and remote assistance.
  • Will directly manage a team of staff with varying levels of expertise and will be responsible for setting and reviewing objectives and targets for each member of the team.
  • Job holder will be the focal contact point for team members and customers alike.

Main Duties and Responsibilities

  • Build and maintain effective relationships with customers and internal/external suppliers by resolving service issues and acting as an ambassador for both Pareto and the Customer Property & Facilities Team.
  • Manage resources and prioritize workloads within the team to ensure achievement of service standards.
  • Ensure quality staff are recruited into the department within budget, by effective interviewing and utilizing available recruitment tools in conjunction with the Customer and HR.
  • Assist with budgetary control for Contract by managing / controlling expenditure involving direct reports.
  • Identify and provide recommendations for commercial benefit across general FM service provision.
  • Coach, develop, appraise and motivate direct reports to help them achieve their objectives and to build a high-quality team.
  • Provide guidance on technical and legislative issues, actively handling those outside the expertise of the local team.
  • Manage key supplier relationships maintaining standards and reporting back to the Customer as necessary.
  • Provide support across the Team generally, and specifically during times of constrained resource on site.
  • Provide out of hours support for emergency situations with site attendance wherever necessary, providing management of potential critical situations.
  • Ensure consistency across all sites in all facilities related processes, conducting on-site audits and ensuring accurate version control of documentation and compliance with all relevant legislation.
  • Take full responsibility via internal or external training resources in order to regularly update own regulatory knowledge and direct report’s, around relevant areas i.e. H&S, DPA, Financial Regulating Authorities, processes and procedures in order to provide the best / most accurate information at all times.
  • Ensure H&S policy and procedures across all sites are up to date ensuring compliance with all relevant legislation and associated best practice.
  • To lead Facilities projects, providing technical support for office planning and office moves.
  • To challenge both project & contract specifications, costs and working practices in order to obtain best value for money while always retaining excellent levels of service.
  • Provide recommendations and input into technology solutions that both enhance and provide benefit to the business.
  • Working with the Pareto Account Manager to develop and manage an annual roadmap of cost and quality improvement initiatives, including new technology solutions to improve the level value provided by the facilities team to the wider business.
  • Must be prepared to ‘fill the gaps’ and step into any of the facilities roles in times of constrained resource.
  • To ensure an efficient administration service is provided to the business including, Reception / Security, post, courier, archiving, stationery stock control, etc maintaining continuity of service.
  • To manage the activities of contractors on site to ensure that all jobs are completed in a safe, timely and efficient manner.
  • Acts as a first point of contact within Pareto in the event of an emergency in order to ensure safety of staff and / or mitigate potential damage to premises.
  • Provision of regular Management Information and Reports
  • Operate as part of the Pareto Finance Process, specifically taking responsibility for Monthly Billing activities and requirements.
  • Be thego-to person for the client when an issue arises.

Authorisations and Limitations:

  • Completion of performance reviews for all direct reports, advising recommendations to Pareto.
  • Authority to prioritize own workload and reallocate resources within own team for the benefit of the wider team / business, ensuring relevant deadlines are achieved.
  • Resolve enquiries and complaints from customers with minimal guidance from others
  • Works within clear guidelines and departmental procedures, however, will be required to use own initiative in suggestion for resolution of wide-ranging ad-hoc queries with minimal guidance from others.
  • Act as deputy to the Pareto Account Manager when required on the Contract.

Key Result Areas

The postholder will be expected to:

1. Develop a strong rapport with client staff.

2. Act as deputy to the Pareto Account Manager where required

3. Be viewed as an integral part of the FM team and first point of contact for all Facility, Premises and associated enquiries

Person Specification

Experience

  • Excellent communication, coaching and feedback skills.
  • Proven experience in a customer service environment.
  • Contract management & negotiation skills.
  • Space planning skills and competent in the use of CAD
  • PC literate and competent in all relevant MS applications, ie, Word, Excel and PowerPoint
  • A competent understanding of / experience of technical areas of premises management, ie, cabling infrastructure, building plant and building management systems, audio visual systems.
  • Significant experience in an FM role – Hard or Soft (OR ideally both).
  • Customer Service/people background – within a ‘client first’
  • Experience of managing a small team of staff and suppliers.

Qualifications

Minimum 5 years’ experience in similar role

IOSH Managing Safely

Be Familiar with ISO45001, 14001, 27001 and 50001

Desirable:

First Aid Trained
