We are currently looking for an Executive PA to join the team at our Support Office based in Leicester. You will provide confidential, discrete and time sensitive secretarial and administrational support to the Chief Executive, Exec Management Team and the Company Secretary ensuring optimum use of their time and availability.

As PA you will play a vital role supporting our senior team and to be successful, it is essential that you can work at pace and have exceptional organisation & communication skills.

This role can offer flexible working and we would envisage the successful candidate to split their time working both remotely and from the office.

This role is highly varied, and no two days are the same. Key Responsibilities will include the following -

Diary Management

  • Organise and maintain the daily diary, including coordination of others and making appointments.
  • Ensure all appointments and attendees are confirmed prior to meetings.
  • Ensure engagements relevant to the Exec team are aligned across all diaries
  • Meet and greet visitors of all levels of seniority ensuring the Topps Tiles brand is maintained at all times

Communication

  • Screen phone calls, evaluate enquiries and requests and handle as appropriate
  • Effectively screen, delete, respond and flag emails in the Chief Executive’s inbox
  • Must have excellent IT and computer skills including Microsoft packages

Travel

  • Arrange travel itineraries and accommodation as and when required
  • Arrange accommodation for the Board, Exec team and Leadership Group meetings/away days

Administration

  • Ensure the Chief Executive is prepared for all meetings
  • Support on weekly report writing and presentations
  • Prepare and circulate agendas for Exec and Leadership Group meeting
  • Provide administration support for the Company Secretary: including filing, legal letters and company trade mark applications.
  • Provide administration support for the Board
  • Plan future Board and Committee Meetings
  • Organise board accommodation, food and venues for meetings
  • Work closely with the Chairman to plan his diary and assist with anything else he needs.

Knowledge, Skills and Experience Required:

  • High levels of confidentiality and the ability to appreciate embargoed information (written or verbal)
  • Good knowledge of how a business operates
  • Have good project management and planning skills
  • Strong experience of engaging with Senior Executives and other senior stakeholders both internally and externally
  • Strong PA, secretarial and administrative skills and experience
  • Understand the businesses aims and goals
  • Knowledge of Microsoft Office package
  • Excellent written and verbal communication skills with all levels of people
  • Reliable, honest, trustworthy and high levels of integrity

This role will be on secondment basis for 12 months to cover Maternity leave. Please ensure you have current line manager permission before applying.
