6 month temporary contract position available for an experienced Executive Assistant or Personal Assistant, to join an Independent Government body, working on complex legal legislation around Data Protection.

You will be working directly alongside the Executive Director of the organisation, but fully remote / Home based. Minimum 6 month contract with a possibility for extensions.

Key Responsibilities

If you have worked as an EA or PA within a large, fast paced organisation supporting Executive level Management, we want to hear from you :

Full diary management responsibility, ensuring the efficient scheduling of internal and external meetings or events; acting as the main coordination point to ensure the best possible use of the Executive Director’s time. Proactive time management including forward planning of diaries and ensuring they have the itinerary and resources required for meetings, speaking engagements etc in a well-structured and timely fashion.

Responsibility for the Executive Director’s worldwide travel and hotel arrangements and production of itineraries.

First point of contact for all incoming correspondence including emails, calls and letters, responding on behalf of the Executive Director where appropriate and using own judgement to escalate or assign to a member of the Senior Leadership Team as appropriate.

External stakeholder management and coordination, advancing working relationships with external stakeholders, including high profile organisations and individuals, ensuring stakeholders are assisted in their dealings with the organisation in a professional manner. Whilst also maintaining an up to date stakeholder contact list.

Attend meetings and provide secretarial and/or project coordination support as required for example by preparing meeting packs, taking meeting minutes and notes of actions and monitoring and reporting back on these as required.

To manage the Executive Director’s communications and resources through effective inbox and record management, setting up and implementing an inbox policy procedure to ensure the Executive Director receives and can access the right information at the right time, appropriate follow action is taken and filing systems are maintained.

To provide ad hoc project management support to the Executive Director and wider division as required.

Taking full ownership and autonomy to meet the demands of the role ensuring that there is continuity of service by communicating relevant information to other Executive Assistants within the department and assisting in the support of all Executive Team members, their directorates and departments as appropriate
