About the Opportunity

As Executive Assistant/Business Manager, you’ll be an essential part of the day to day running of the Strategic Consulting and Digital businesses. You will coordinate the business and administrative support functions that are essential to the businesses’ operational delivery.

Jacobs Strategic Consulting includes over 800 staff providing solutions and advisory services to clients investing in, planning, procuring, constructing, operating and maintaining assets in the buildings and infrastructure sectors. This is an exciting opportunity to gain exposure to the running and management of two different business units within Jacobs. No two days will be the same.

Working directly to, and closely with, the businesses Head of Operations you’ll split your time between the direct delivery of tasks, and the coordination of others. You will:

  • Drive the weekly and monthly rhythm of the business and manage a team providing administrative support to the businesses
  • Ensure that effective management reporting is in place and delivered consistently, and continually develop to meet changing business requirements
  • Support the Senior Leadership teams by actively participating in key meetings and events, demonstrating your proactive ability by helping the team maximise productivity and efficiency
  • Co-create and engage with the Senior LT and Business Management Team (BMT) as well as the wider employee base around how we operate, including:
    • Structure
    • Accountabilities
    • Governance
    • Data
    • Essential behaviours
  • Drive operational communications within the businesses: Engage with, influence, manage, write and issue communications content at an operational level
  • Engage with different communities across the business units and proactively driving actions as required
  • Ensure that governance systems are in place and run consistently, and continually develop to meet changing business requirements
  • Act as the coordinator/project lead for operational projects as required
  • Support the HoO and the senior teams in tasks that support efficient operational delivery of the business
  • Take ownership of all MS Teams, SharePoint sites, staff and distribution lists – continuously updating, maintaining, and resolving issues
  • You’ll be the hub of all knowledge - proactively problem solving and responding to a whole host of queries or requests from across the business
Here’s What You’ll Need:
  • Self-starter/pro-active
  • Highly organised with the ability to organise others
  • Strong communication skills
  • Ability to build connections widely and influence to achieve results
  • Outcome focused, with an ability to overcome obstacles, and also a desire to streamline processes
  • Experience of reporting and Excel data manipulation, or aptitude and willingness to be trained

Ideally you’ll also have:

  • Experience of managing or co-ordinating staff across multiple locations
  • Experience of project delivery
  • Knowledge / experienced in supporting business management operations
  • Flexibility to travel

Ideally this role will be London based, but other major Jacobs UK offices may be considered.
