The Independent Association of Prep Schools (IAPS) has an exciting opportunity available for an Events Administrator to join us based in Leamington Spa. You will join us on a full time, permanent basis working 35 hours per week. In return you will receive a competitive salary of £20,000 - £24,000 per annum.

The Education, Advice, Sport and Training (EAST) team delivers high quality courses and conferences and an extensive sports programme annually, for over 650 member schools in the UK and internationally.

About The Role

As our Events Administrator, you will provide administrative and organisational support for online and in person courses and the sports programme. You will also be responsible to the Director of Education (DoE). The Events, Courses and Conferences Manager (ECCM) and the Sport Events Manager (SEM) will provide day to day direction and specific guidance for the relative courses and sport events administration.

What You Will Be Doing As Our Events Administrator
  • Updating the event and CRM databases, creating course and sport specific sections and inputting bookings and event information - Liaising with IAPS members and school staff over event bookings - Liaising with speakers to ensure that all requirements for the day are met (to include co-ordinating arrangements for pre-course rehearsals for online events) - Monitoring event bookings and collating delegate/competitor information - Providing reports for events - Co-ordinating and circulating pre-event information - Creating sports draws and keeping event programmes up-to-date - Collecting results and publishing online - Collating and summarising post event evaluations - Attending events as and when required to support and co-ordinate operations on the day - Keeping event web pages up-to-date and engaging - Creating the weekly sports newsletter and maintaining the distribution list - Creating and updating promotional event materials - Ensuring participation records are kept up to date - Clerking and minuting the IAPS sport committee meetings - Liaising with the accounts team over payments and financial queries - Ensuring event data is kept up to date in the CRM - Providing admin support for the IAPS swimming gala - Undertaking administrative duties as required and any other reasonable duty that the Events Courses and Conferences Manager, Sport Events Manager or Director of Education may require from time to time
Our ideal Events Administrator will have the below skills and experience:
  • Excellent time management and organisation - Ability to multitask, administering several events at any one time - Ability to cope under pressure and meet multiple deadlines, ensuring the smooth and efficient running of events - A passion for delivering outstanding events - Meticulous attention to detail - Excellent interpersonal skills - Excellent written and verbal communication skills - Proficient in the use of Microsoft Office applications including Word, Excel, PowerPoint - Prior experience in event administration - Experience of delivering online events (via Zoom, Microsoft teams) - Willingness to work flexibly and to coordinate and administer events outside of normal working hours
