Purpose of job
The key focus of this role is to provide complex and technical document support to the fee earners, PA’s and business services across all EMEA and Asia practice groups.

Key tasks
  • Provide complex and technical document support to the fee earners, legal PA’s and business services teams
  • Deliver a large volume of high quality accurate work, on time, to specification and in line with BCLP house styles and brand guidelines.
  • Create, reformat, brand and manipulate a variety of Word, PowerPoint, PDF and Excel documents to an advanced level. Including legal documents, legal advice, know-how, marketing, sales, presentations and internal documents
  • Produce a variety of branded charts and diagrams for use in the firm’s client communications
  • Provide an efficient and quality typing service, including audio and manuscript work, using fast and accurate typing skills
  • Assist with any troubleshooting queries and undertake any fast track and quick turnaround tasks as required
  • Manage and prioritise own workload and support other team members to ensure an effective and efficient throughput of work. Be flexible and willing to stop one job in order to carry out a more urgent task
  • Proof own work to ensure that tasks have be completed accurately, the right templates are used, formatting is correct and work is free from grammar and spelling errors
  • Be the guardians of the BCLP brand and House Style, and advise on best practice and the BCLP way.
  • Support the Atlanta DPS team in delivering high quality, accurate, branded documents and provide feedback on work as required
  • Support the workflow co-ordinator with dealing with issues, queries or requests for assistance from the internal clients and Atlanta DPS team
  • When required, assist with managing the DPS EMEA workflow to ensure a efficient and effective throughput of work
  • Follow the departmental procedures and ensure a thorough handover is given to other operators and or Workflow co-ordinator

Key Relationships
  • Atlanta DPS team, Visualisation team, Lawyers, secretaries, Marketing team and the wider services departments

Experience & knowledge
  • Extensive experience of working as a document production specialist or desktop publisher within a legal or professional services environment
  • Excellent knowledge and experience of using Microsoft Office (esp. Word, PowerPoint and Excel) in a professional capacity
  • Excellent design, branding and legal document production experience
  • Knowledge of Adobe CS (Illustrator, InDesign and Photoshop) and Keynote/Prezi would be an advantage but it is not essential
  • Experience of traffic/workflow management is advantageous but not essential

Skills and competencies
  • Outstanding Microsoft Office skills
  • Excellent attention to detail, strong document layout and formatting skills, and a natural eye for design
  • Excellent typing skills (fast and accurate)
  • Must be self-motivated, able to act on own initiative and have excellent organisational and time management skills to plan, manage and deliver projects to deadline without immediate supervision
  • Have the ability to work on several projects at once, delegate, prioritise and manage conflicts effectively
  • Hardworking and dedicated and always carries out tasks with care and perseverance
  • Must be robust, remain calm under pressure and adapt quickly to changing priorities
  • Ability to work alone, think on your feet, interoperate situations and use initiative to solve problems
  • Be customer focused and have an positive can do attitude even when faced with challenging situations
  • Natural team player with excellent interpersonal skills to build strong relationships in the team and across the wider organisation
  • Outstanding written and verbal communication skills, to be able to interpret client requirements and translate them to other team members in the UK and Atlanta
