Cost Clerk

Location: Aylesbury

Description of activities to be undertaken

  • Managing several suppliers accounts, taking ownership of the whole payables process, from the reception of the goods and GRN to the payment of the invoice, with the support and supervision of the Cost Controller.
  • Ensuring that all invoices have the correct back-ups, authorisations, and cost allocations. If invoices require amendments, ensure that this is done in a prompt manner to ensure we adhere to vendors trading terms.
  • Ensure that liabilities for cost incurred and not invoiced yet in relation with the suppliers managed by this position are accrued in the system before the monthly cut-off date for cost reporting.
  • Weekly payment runs completed on their allocated days.
  • Ensuring that all accounts payable documents and records are identified, indexed, filed, and retained in accordance with the relevant filing system and statutory requirements. All filing requirements need to be completed on a weekly basis.
  • Check to ensure that all tax invoices have the correct tax details before inputting into system.
  • Proactive communication with the different departments (Procurement, Commercial, Construction) to address and resolve queries in order to avoid delays in the payments to the supply chain.
  • Proactive communication with the Site Teams to maintain trackers and other shared documents.
  • Review and reconcile suppliers’ statements with information in our accounting system (Insite) on a regular basis, investigating and resolving any discrepancy promptly.
  • Assist Manager as required with any ad hoc projects and assist all other team members as directed by Manager when necessary in order to facilitate a ‘one team’ environment.

Experience, Skills and Qualifications

  • Previous experience in a similar position in a construction project.
  • Familiar with all Microsoft packages, especially Excel
  • Attention to detail
  • Methodical and organized
  • Proactive approach to working.
  • Good communications skills.
  • Enjoys problem-solving
