About this role

The role holder will undertake all required administration of property related contracts for 50% of the retail estate ensuring all requests for payments/receipts are processed to agreed contractual terms and company procedures. They will also ensure that all the lease data is correct and updated in the property system and that regular reporting is accurate as well as validating completion statements in relation to lease renewals.

You’ll have the following responsibilities

  • Ensuring that all information held in the property system is accurate
  • Processing invoices in a timely manner to prevent recovery action from all suppliers.
  • Ensuring data is updated in accordance with agreed timelines
  • Process all service charge, insurance, and ad hoc invoices on 50% of the properties to ensure that all payments are made accurately and on time.
  • Deal with all invoice associated phone and email queries promptly.
  • Complete and send weekly spreadsheets of all service charge invoices to Bellrock to validate increase/decreases, balance service charge debits and credits and run property system reports to record all payments and credits.
  • Reconcile all vendor statements to ensure all debits and credits are rectified and resolve any associated issues.
  • Work with accounts receivable to manage the workload of unidentifiable credit payments to enable correct allocation.
  • Raise requests in the property system promptly to avoid Landlord/Managing Agent disputes.
  • Administer changes in the property system in relation to property changes e.g. sold/lease assigned new landlord/managing agent to minimise rent disputes.

You’ll have the following skills & experience

Critical Experience

  • Previous experience in a similar financial role
  • Proven administrative skills and the ability to work to tight deadlines, managing own workload to meet business needs
  • Experience of working in similar corporate environment

Desirable Experience

  • Knowledge of property/finance systems
  • Accounts payable experience
  • Knowledge of Facilities Management and Real Estate issues
  • Experience of creating procedures and documenting processes
  • Experience of working with external suppliers, landlords, property agents, councils and liaising with councils/suppliers
