We are looking for an experienced administrator to work within Business Support team. The successful candidate will work closely with the field employees and also act as the central point of contact for other internal groups including Credit, Legal, Distribution and Pricing.

The successful candidate will execute the customer supply contracts management activities for UK and Ireland to deadline. Activities to include: Preparation of sales contracts, Card Services/Fast fuel agreements, Self Billing Agreements and contractual side letters.

Create all customer master data in SAP including maintenance of small load surcharges, margins, third party handling rates. For new deals, set up all customer master data in SAP ensuring that the creations are in alignment with the contract and SOX approval guidelines. Validate daily reports to ensure 100% accuracy of critical data that has a financial impact on the Company. Provide ad hoc reporting and analysis for Business Managers.

Handle customer contribution invoices and Authority for Expenditure forms that are part of the supply deal in alignment with audit procedures established. Raise Miscellaneous Billing Masks with accurate levels of approval and cost centres and liaise with SA Accounting.

Handle customer data to set up e-billing, handle the data set up of customers registering for e-Billing, e-statements, customer pricing, Third Party deliveries and online ordering on our customer extranets to specific deadlines.

Act as the central point of reference for field staff, by liaison with Credit, Legal, Distribution, Pricing and Logistics teams in order to centralise co-ordination of contracts. Handle ad hoc project work involving Terminal changes, IS projects, Distribution and Accounting processes.

Education/Competencies/Skills:
  • Educated to A Level standard essential
  • Degree preferred
  • Some experience in the field of Contracts Administration / Customer Service positions is preferred
  • Comprehensive knowledge of SAP preferred
  • Knowledge of Europe Operations business is preferred
  • Excellent analytical skills and advanced knowledge of Excel, Word, PowerPoint, SAP
