Hours:37.5 hours per week, Mon Fri
Prime Function
To help manage the contracts administration function that ensures that customer contracts are renewed on a timely basis and all appropriate billing is carried out in relation to these contractual terms and conditions.
Key Responsibilities
Co-ordinating with the Sales teams and Senior Management on behalf of the Contracts Admin Team
Ensuring the contractual billing is carried out in a timely manner and asset lists are updated accordingly for each supported client.
Maintaining an internal database and liaising with different departments to ensure record accuracy
Managing an effective and efficient query management process
Representing the Contracts Admin Team in any meetings requiring input from the Team
Identifying and implementing any change or enhancement to processes that would benefit the Company
Contracts
Coordinating and establishing new Agreements, processing renewals and uploading equipment schedules onto Contracts database
Providing details of required Sub Contracted elements of Agreements and passing to Operations Dept. for implementing
Addressing queries and amending Agreement details if necessary
Establishing and maintaining client Agreements on Contracts database
Database amendments and on-going maintenance
Charging of Agreements and Service Calls
Other Ad-hoc Admin Functions
Invoicing
Establishing Invoice records for future Agreement charging
Raising Agreement invoices
Invoicing and Voucher allocation against Service Order Jobs
Any other ad-hoc invoicing (eg overtime)
Other Functions
Updating payment details for Sales Commission purposes
Experience
Any other ad-hoc functions as required
At least 1-3 years experience in a contracts billing administrator role
Knowledge
Office applications including Excel and Word
Experience of billing platforms, ideally Solarvista and SAGE
Personal Attributes
Thorough, demonstrates attention to detail
Able to communicate well at all levels.
Able to work on own initiative with minimum supervision
Organised and able to identify and prioritise work.
Supportive and reliable team member.
Ability to remain motivated by targets and deadlines
Ability to learn new skills
