Business Support (Finance & Admin)

HiDef Aerial Surveying Limited (HiDef) is known for its market leading, innovative digital aerial surveys, which have been deployed in ten countries. We are expanding rapidly across all of our services, combining technical and scientific excellence and it is crucial to the company that we continue to lead in the innovation of new products based upon credible science and deliver all of our services in a consistent and efficient manner. We work on a range of projects ranging from our digital aerial surveys, ornithological and marine mammal statistical analysis and research and development projects in fields such as machine learning and artificial intelligence, often with our sister company BioConsult SH in Germany, Biotope in France, other partners, and domain experts.

Quality lies at the heart of HiDef’s services and following a growth of business the company is looking to recruit for a Business Support (Finance & Admin) role to join our busy team. This position within the company offers significant opportunities for the right person who will be enthusiastic, methodical, diligent, an excellent team player with effective communication skills and a willingness to learn.

This position can be based at HiDef’s office in Workington.

The Role:

Finance

  • Assist with the company purchasing requirements, raising orders, receiving orders, and delivering orders to recipients.
  • Act as the main point of contact for facilities issues, including ensuring appropriate stock of cleaning supplies and refreshments and coordinating visitors as required.
  • Assist with Purchase ledger.
  • Maintain ledger accuracy and integrity and provision of reports from QuickBooks.
  • Assist with processing of credit card transactions, expenses, and petty cash accounts, including liaising with users for receipts and to ensure there is sufficient information to code on QuickBooks.
  • Assist with sales ledger, uploading invoices, and providing copies, on request, to clients.
  • Day-to-day office administration tasks such as answering calls, dealing with post, scanning and copying documents, filing, maintaining stationery supplies.
  • Assist with company events, travel, and accommodation bookings.

HR

  • Assist with recruitment and onboarding administration.
  • Assists with the coordination of training courses including booking courses, liaising with training providers and delegates, and maintaining training records.

Operations

  • Assist the Operations Manager or other Team Leaders with day-to-day administrations tasks.
  • Assist the Operations Manager with processing of supplier invoices.
  • Any other relevant administration duties, as required.

The successful candidate will need:

  • Previous administration experience in a similar environment.
  • Ability to organise areas of work and prioritise workload to ensure key deliverables are met.
  • Excellent communication and interpersonal skills with the ability to communicate effectively at all levels, and with a variety of stakeholders.
  • Ability to work effectively with minimal supervision and manage time efficiently.
  • Effective organisational skills.
  • IT confident including MS Office applications with proven experience of Outlook, Teams, Word, and Excel.
  • Personable, friendly, ‘can-do’ attitude with a willingness to develop and learn.

Benefits / Remuneration:

  • £21,500 per annum.

  • Working hours are based on Monday-Friday 08:30-17:00.
