LifeBook is the experience of sharing stories in an autobiography for the family. We interview and ghost-write people’s amazing stories, printing them privately as a lasting legacy for their families.

We are looking for an experienced Business Process & Systems Manager to oversee and develop the internal IT systems and processes that support and frame the operational functions across LifeBook. Reporting to the Operations Director, with responsibility for developing, leading and managing business processes, functions, information flows, data structures and software development processes, using various methodical and consistent techniques.

The successful candidate will be a dynamic team player and is likely to be educated to degree level with proven experience in CI, developing and delivering business improvement.

You will understand the bigger picture, taking into account the individual departmental operational needs whilst maintaining successful delivery to our clients at the highest standard.

The ability to treat Operations as your client and identify, detect, and create business processes towards accomplishing business goals specific for the organisation is critical.

Strong current IT and system skills are essential, including CRM systems, MS Office, Teams, time management and project management tools. Our systems are cloud-based and the ability to engage, develop and manage them is key to the success of this role. One of the high-level objectives of this role is to develop accurate system and data reporting, therefore strong knowledge of Microsoft BI is essential.

LifeBook, is a growing company with 25+ employees and several hundred freelance writers and interviewers globally and is skilled at managing international remote working and outsourcing as needed. This role will have a significant impact on the company’s productivity, workflows and staff and customer satisfaction.

The position is to efficiently support a growing business with an effective, mainly remote, team working to agreed deadlines and budgets and ensuring the operational processes can measure and achieve their KPI’s and deliver budgeted performance.

Key Responsibilities
  • Work with the Operations Director to identify the business objectives and priorities
  • Develop effective reporting tools integrating information from all systems
  • Develop productive relationships with the team to listen to their needs and challenges
  • Analyse the efficiency of current business systems and processes
  • Identify areas for improvement with costed business cases
  • Communicate effectively and consistently with Senior Management with ideas and plans for improvement
  • Create and put forward effective plans for new system and process implementation
  • Manage 3rd party support vendors such as IT and Telephony
  • Manage and implement effective workflows, processes and systems
  • Lead on the Change Management aspect of business and system improvements
  • Create effective accurate reporting for Senior Management
  • Create effective reporting for staff to measure themselves against KPI’s
  • Create and implement a live BI dashboard based on the desired reporting and data needed for the business
  • Continuously review and improve the operational systems, workflows and processes as the business scales and evolves.
