A day in the life of an Ascent Business Co-ordinator

The role of Business Co-ordinator at RAF Valley is to provide a wide range of efficient and effective business support services to enable the Business Unit (BU) to achieve its planned objectives.

The role will encompass some or all of the below responsibilities which are collaboratively delivered through the Business Management Team. Specific responsibilities will be assigned within the team based upon background and agreed specialist interest areas of the Business Co-ordinators.

Safety and Assurance
  • Undertake health and safety related tasks where required to support the Ascent Safety and Environmental Management Co-ordinator (SEMCo).
  • Support the creation, development, and ongoing maintenance of Quality Management System processes for key activities within the business support area, ensuring that they are in line with the requirements of ISO 9001.
  • Work closely with the Ascent Training Management Team to provide data quality checks with the customer ensuring corrections are captured and processes are updated.
Customer
  • Effective customer service and relationship management across a range of stakeholders/partners/staff and trainees.
  • Uphold partnering behaviours and participate in networking events as required.
  • Act as a main point of contact for stakeholders/partners/staff and trainees, ensuring appropriate signposting for query resolution.
People
  • Champion diversity and inclusion and be a role model for the Ascent values.
  • Work collaboratively and in consultation with other team members and the Training Support Hub
Performance
  • Collation, analysis and reporting on specific Management Information (MI) for the business, working closely with the Business Intelligence team to transition to more efficient and automated methodologies.
  • Provide general policy guidance and advice to support compliance, working with divisional specialists (e.g., IT, Finance, H&S etc.) as required.
  • Assist the BM with monitoring the performance of suppliers to ensure that they comply with their contractual requirements.
  • Support the BM with managing internal and external business change.
Financial
  • Monitor and control costs within agreed funding lines.
  • Provide guidance to staff with regards to the expense claim process and manage travel authorisation requests as required.
  • Submission of Purchase order Requests to budget holder for approval, order processing and liaising with the Finance department where required to resolve any invoicing queries.
What will make you successful?

You will have previous experience of providing high quality administrative support in a busy service delivery environment. You will be able to work collaboratively and in consultation with team members, customers, and end users.

You will love working in an environment where you have a high throughput of varied daily tasks and are highly organised with the ability to prioritise workload and conflicting tasks effectively.

You Will Also Have
  • High level of literacy and numeracy skills.
  • Good communication skills both oral and written, with the ability to target content for the audience.
  • High attention to detail and practical experience of collating and analysing complex and confidential information.
  • ICT competence - including experience of relevant common business ICT tools including Microsoft Office and SharePoint.
  • Process driven and proactive in identifying opportunities for improvement.
It would be beneficial (but not essential) for you to have completed a relevant business management qualification and understand ISO 9001 management system standards.
