About this role

At Orange Moon Training we pride ourselves in the delivery of quality training, which needs to be supported by quality administrative processes. As an administrator in our training team, you will be developing the skills to be responsible for completing the day-to-day administrative duties to ensure:

All learner/student records are up to date and accurate.
Accurate information is provided to the delivery team, the partner organisations we collaborate with, and the management team as required.
Data is input in the relevant systems accurately and timely.
Excellent customer service is provided throughout the entire learning journey from; enrolment and onboarding students through to the completion of their course.
Our customers, new and existing, are kept update with the information they need, and their queries quickly resolved.

You will be based in our Nottingham office.

Key Duties

Specific training administration duties:
Handling enquiries received via phone and email, and subsequently updating our databases.
Administrative checks to ensure the learner is eligible for funding.
Engaging with prospective learners to provide guidance on pre-enrolment tasks whilst liaising with their employers to monitor the progress of their enrolment.
Collaborate closely with team members to schedule introductory meetings, interviews, and update sessions with schools.
Following up with learners to ensure timely submission of pre-enrolment tasks in accordance with established deadlines.
Scheduling and facilitating Recognised Prior learning sessions for prospective Learners.
Prepare, send out and monitor e-paperwork for learners across all our training programmes.
Input and submit learner data to a range of internal and external systems and organisations.
Liaising with learners who may need to help, resolving any queries.
Review employer documents and request any necessary updates or additional documentation.
Support open days and enrolment events, both based within venues and online.
Collaborate closely with partner organizations to ensure that both companies meet the compliance standards and documentation requirements mutually established.

General administrative and customer service duties:
Taking telephone enquiries, screen and direct phone calls and distribute correspondence.
Carry out occasional mail shots and e-mail marketing activities.
Minute internal team meetings
Liaising with other professionals in the office to ensure team tasks are completed.
Scheduling meetings for colleagues as required.

Minimum Requirements
Good verbal and written communication skills
Positive, professional and welcoming telephone manner
Minimum 5 GCSEs at grade 4/5 or grade C, or equivalent, must include Maths and English (A-C)
Skilled in using Microsoft Office applications, with a particular proficiency in Word and Excel.
Attention to detail.
Demonstrating initiative and accountability while also excelling in collaborative teamwork, with a positive attitude.
3+ years working within the field of education in schools.
