Bookkeeper/Office Manager required to work 25-30 hours Monday – Friday

We are looking for an experienced office manager/bookkeeper to join our small but busy office team working directly with the Contracts Manager and Managing Director.

This position is a key role within the company, we are looking for someone who is motivated, highly organised, able to work under pressure, multi task, deal with multiple client enquiries at once and meet deadlines. The successful candidate will be the first point of contact for clients, they must be professional have excellent communication skills along with strong accuracy and numeracy skills.

We use QuickBooks accounting package so we are looking for someone experienced in using QuickBooks or one of the other accounting software packages

The roles will include but not limited to the following duties

· General admin tasks

· Answering calls

· Email management

· Diary management

· Liaising with staff, customers and contractors

· Staff Time App Management

· Ordering stock

· Raising invoices ensuring they are sent out on time

· Credit Control

· Bank Reconciliation

· Managing staff personnel records

· Setting up staff on payroll system

· Overseeing monthly payroll - Check hours, calculate overtime, holiday pay and deductions

· Prepare profit and loss, balance sheet and monthly management reports.

· Process, prepare and submit VAT returns

· Ensure Tax payments are made on time.

· Completing CIS returns, and reconciling retention payments as necessary

· Maintain purchase ledger

· Manage and control the company pension personnel scheme

· Prepare Year End Accounts for submissions to the Accountants

Requirements for this role

Must be experienced in QuickBooks or other accounting software

Previous Administration/Office Management, Bookkeeping or Accounts experience

IT literate, working experience accounting software and Microsoft Office

Good telephone manner, effective clear and professional communication skills both written, verbal and orally. Ability to priorities tasks and take responsibility for workload

Able to work to deadlines, be organised and able to use own initiative

Able to work as part of a team

We are a small team so a flexible approach and willingness to take on other work when less busy is essential.

This position will have a 6 months probationary period with a 3 month review
