DFP Services are looking for a Bid Coordinator to join our exciting and enthusiastic Bid Team. Delivering planned service and maintenance across disciplines such as Fire, Communication, Electrical and Mechanical, DFP Services are an established local business in Durham and were named as one of the fastest growing companies for two years running in 2018 and 2019.

Job Description

On a day-to-day basis, you’ll be required to support the team in sourcing and collating high quality tender responses and proposals for the company across a range of disciplines.

Our ethos, communication is key, will be a vital aspect of the role and you’ll be expected to liaise with internal key personnel across our Commercial, Operational and Finance departments to support the team to manage multiple tender submissions at any one time.

High scoring tender submissions will be expected to include clear and tangible benefits for our customers alongside company policies and procedures. Your role as Bid Coordinator will be to support the Bid Team in gathering evidence in an administrative function by keeping the Tender Library as up to date as possible.

Reporting to the Bid Manager and Head of Commercial, you’ll be expected to be able to support us to establish the suitability of opportunities, manage the Bid No Bid Process, update our internal tender management systems and compile documentation for the team.

Your key responsibilities will be:

· Reporting to the Bid Manager and Head of Commercial

· Source appropriate tender opportunities using our tender management system and external portals

· Issuing tender documentation to key personnel

· Understand the key aspects and requirements of the tender documentation

· Manage the Bid No Bid Process and keep a comprehensive record of bid decisions on our internal bid tracking systems

· Completing Bid Plans to identify the appropriate amount of time to allocate to a tender submission

· Update our Tender Library to ensure information is relevant and high quality/high scoring evidence is easy to locate

· Communicating with internal stakeholders

· Completing supplier questionnaires, market engagement forms and supplier applications

· Generate reports from our internal systems to monitor bid decisions, bid scores and pricing data

· Providing general administration support to the Bid Manager and wider Bid Team

Experience required

· 2+ years of working in a similar role

Skills required

· Comfortable working in a deadline driven environment

· Excellent written communication skills

· Ability to organise workload with effective time management

· IT Literate with competency on Microsoft Office Suite (Outlook, Word, Powerpoint and Excel)
