Job Summary

As part of our recruitment strategy, we are looking to appoint a self-motivated, enthusiastic, dynamic Community Administrator to join our Community Midwifery Team. The successful candidate will be required to provide administrative support to the Community Midwife Matron and Team Leaders. You will operate within the Community Team and act as part of a wider inpatient administrative team.

We provide high quality care to the women and families we care for. Our community team’s work across three sites that include Heartlands Hospital, Good Hope Hospital and Solihull Hospital.

Main Duties, Tasks & Skills Required

Carry out the day-to-day functions of the department, acting as a central point for general and clerical enquiries, participating as a member of the Midwifery Team.

Ensure the smooth running and efficiency of the community midwifery service and birth unit.

Action all internal and external telephone enquires supporting the Midwives by screening and diverting all calls as appropriate and giving advice and information in accordance with local policies and procedures.

To answer the telephone, taking and passing on of all messages to the appropriate people. This may mean receiving sensitive information and ensuring it is passed on to appropriate member of staff. Ensure that all midwifery enquires or requests for advice are passed onto a member of the midwifery staff.

To help and assist all students and other new staff when working on the unit relating to administrative procedures.

To conform to all Trust policies and procedures and be able to use the bleep system to contact senior midwives.

To provide cover on a reciprocal basis during all colleagues leave of absence and to carry out any other administrative duties within the nature and grade of this post as and when required.

To undertake all medical record, demographics and other clerical procedures as required as agreed with the Matron and Head of Midwifery.

To liase with other departments in arranging follow-up appointments such as scans, Glucose Tolerance Tests, as advised by the Community Midwife.

Qualifications

Essential

  • GCSE Grade C English and Mathematics, or equivalent

Experience

Essential

  • At least 2 years’ experience at administrative officer level
  • Experience of dealing with the public
  • Experience of I.T systems
  • Knowledge of Microsoft Office Packages
  • Experience of Diary/Appointment Management

Desirable

  • Previous experience of NHS or public sector working
