Job Description

Position: Assistant Financial Controller

Department: Accounts

Relationships:Reports to Financial Controller

Objective

To work closely with the Financial Controller and support the General Manager and HOD’s

Systems Used

Opera, Zonal, SAP, Jedox, Microsoft Office, On Line Banking, Procure Wizard, Rota Horizon.

Responsibilities

  • Deputise for the Financial controller as and when required
  • Ensure that all accounting, control and ledger systems are confirmed to in accordance with company and hotel policy
  • Manage the guest ledger daily/weekly including aging and recoverability
  • Ensure banking procedures and controls are adhered to including daily banking
  • Carry out full daily income audit as per company procedure including bank reconciliation and identify and raise areas of concern with Financial Controller
  • Monitor hotel controls including regular monthly float checks and daily control of petty cash, identify and raise areas of concern with Financial Controller
  • Maintain the Spend tracker and Daily revenue report.
  • Maintain the purchase ledger via Procure Wizard Daily including matching Invoices to PO’s via MP Scan, reviewing invoice variances requesting credits where required and reconciliation of supplier statements alongside the FC
  • Prepare and maintain HR files and documentation and communicating with HOD’s regarding documentations outstanding and upcoming review dates alongside the DGM
  • Assist with the production of month end accounts and year end
  • Maintain Rota Horizon with daily/weekly checks and reporting to assist the HODs
  • Attending morning meeting / Ops meetings
  • Co-operation with and assistance for external and internal stocktaking and audits
  • Meeting all the deadlines and time frame requirements of the hotel and head office
  • To comply with internal controls & follow group policies & procedures
  • To follow and lead by example regarding cash control and internal security measures within the property
  • Observing and complying with Health and Safety Policies
  • Observing and complying with company Standard Operating Procedures

General

  • To ensure all Statutory Regulations are adhered to
  • To undertake any reasonable requests made of you by the company including flexibility in hours, location and responsibilities
  • To work to the Malmaison/Hotel du Vin Perfect 10
  • To comply with all policies and procedures as written in the staff handbook.
