We are currently recruiting for motivated, reliable and client focused Deputy Manager (with previous experience managing Cleaning/FM contracts) to join our designated Soft Services Team on our client site.

Overview of Role:
Interact with Key Account manager, colleagues and client stakeholders to ensure a full understanding of client needs and deliver service which exceeds expectation, ensuring our client has a better day, every day.

Responsible for monitoring and managing all allocated service activities across the site, ensuring quality standards. Support the Key Account Manager to ensure that all team members are engaged, motivated and valued in their working environment and have a full understanding of contract service provisions and requirements to guarantee exceptional service standards are delivered in line with service level agreements and budgetary requirements.

Key Responsibilities and Tasks

  • Develop and sustain excellent customer relationships by working in close partnership with them and their team to ensure service delivery excellence at all times, including man management, team building and resource planning
  • Manage the service delivery ensuring a proactive and efficient service which is compliant, innovative and continuously improving, meeting agreed SLAs, KPIs and the contract specification
  • Create and maintain review cleaning schedules (daily, weekly, and periodically) for all areas of the Bank
  • Support the Key Account Manager on payroll activities, including reporting on absences, over / under budget and any non-compliances, making recommendations as necessary
  • Provide regular structured feedback to your line manager and other team members
  • Ensure that monthly reports, audits and other relevant documentation requested by the client or Tenon fm is produced in a timely manner
  • Support the Key Account Manager in embedding and enforcing the Company’s Health & Safety agenda, policies and procedures and manage the H&S control via the ISO45001 standard
  • Responsible for management and compliance to the Quality Management System (ISO9001) and Environmental Management System (ISO14001)
  • Coordinate on-site subcontractor and supplier visits in accordance with site compliance procedures
  • Responsible for monitor, record maintenance and control documentation
  • Lead and manage the site team on all aspects of their roles, Company policies and procedures to ensure that they clearly understand and take ownership of their area of responsibility, proactively respond to client requests to deliver an efficient and responsive service and performance manage as necessary
  • Attend and on occasion present at weekly and monthly client meetings
  • Provide cover for the Administrator position / Meeting Room Coordinator, as required
  • Deputise for the Key Account Manager for periods of absence / annual leave and assume additional duties and responsibilities to ensure excellent service delivery levels are maintained
  • Carry out any other duties as directed by management to support the needs of the business
  • Lead and direct other company projects as required
Key Skills:
  • Proven experience working within Facilities Management at supervisory or managerial level, with core knowledge of cleaning and subsidiary services
  • Be an excellent communicator with the ability to confidently and credibly engage and influence clients, partners and employees
  • Experience of finance and budgetary control in regards to control of labour and consumable spend
  • Excellent IT skills, including Microsoft Office suite, with the ability to produce presentations, analyse and report on data and make and execute recommendations
  • Experience of audits and working with ISO 9001, 14001 and QHSAS 18001 standards
  • Has the ability to lead, manage, coach, develop and motivate direct reports and teams
  • Excellent skills in building relationships and developing partnerships across multiple stakeholders
  • Proven record of being responsive and innovative
  • Self-motivated with the ability to work flexibly and as part of a team
  • Excellent organisational skills with the ability to prioritise work to meet defined deadlines
  • Maintain professional internal and external relationships that meet Company core values
Level Of Qualification
Desirable but not required

  • BICS cleaning qualification
  • NVQ in Business & Administration or equivalent

The role reporting directly to Key Account Manager for the client site and has strong interactions with Head of Operations for Key Accounts.

Working Hours: Monday to Friday, 40 hours per week and will be paid based on an hourly rate. The hourly rate is £14.33 which is an annualised salary of £29,800.
