Position: Administrator

Contract: Temporary, 08/10/2023 - 30/11/2023

Possibility of Extension: Yes, based on performance

Pay Rate: £11.18 Per Hour (PAYE)

Hours: 37 hours per week, Monday to Friday, 09:00 AM - 5:00 PM
Location: CW1 3LF

Job Purpose:

To provide an administrative resource and business support role for Careline and to support the work of the Careline Service and Management Team.

To provide a high standard of customer care and to present a positive image of the service at all times and to signpost service users to other appropriate services as appropriate. Key Responsibilities:

To be responsible for logging, distribution and monitoring of incoming mail and other communications. To answer routine correspondence, telephone and e-mail enquiries, referring as necessary to other staff and services.

To maintain the office diary, create and update records and carry out routine administrative tasks as required.

To schedule operational planned appointments with existing and prospective Careline customers, in relation to equipment demonstration, installation, repair, review and retrieval, in collaboration with all stakeholders.

To produce reports on performance indicators for the service, assist in updating all information and recording systems working collaboratively with other staff using IT systems as required

To act as a point of reception for visitors and deliveries to the office, to order stationery and supplies as required.

Coordinate systems for monitoring and reporting of building/office repairs and assistive technology equipment as required

To assist in the marketing and promotion of the service including the Carers Card Scheme with all stakeholders and customers.

To be flexible in the provision of the service on a day-to-day basis, attend meetings relevant to the service including staff meetings and participate in all relevant quality assurance programmes

To implement the Council’s Equalities Policy and to incorporate this in all elements of the work. To support all aspects of Health and Safety regulations and Council policy, including risk assessments within the service

To undertake any other duties and responsibilities as may be required to reflect the evolving nature of the service. This may involve working

outside of the normal core hours and some weekends.

To have a working knowledge of the benefits of assistive technology and the equipment available

To register new customers onto the Careline Telecare systemQualifications and Experience:

NVQ Level II Business Administration OR Customer Service OR three years’ relevant administration experience

Previous administrative experience is advantageous.

Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Strong organizational and time management skills.

Excellent communication skills, both written and verbal.

Attention to detail and ability to multitask.

Ability to work independently and as part of a team.
