JOB TITLE: Administrator - Facilities Management

LOCATION: Manchester

SALARY: £8-12 Per Hour (PAYE)

THE CLIENT

My Manchester based client is currently recruiting for an Administrator to work on a FM Project on an initial 6 month contract basis.

THE ROLE
  • Working as part of an administration team that is commitment to excellence and offering maximum flexibility in supporting the business function across the full spectrum of administrative functions.
  • Undertake a variety of tasks as directed/coordinated by the Commercial Manager or Head of Operations to support the safe, efficient and effective delivery of services that meet with customer SLA’s
  • Extracting planned Testing and Inspecting activities from client systems
  • Scheduling work to engineers (including any special requests from the business)
  • Monitoring the completion of all works
  • Report on capacity issues (too many/too few engineers for workload)
  • Checking receipt of all documentation from engineers (time sheets/expenses/engineers reports/compliance certification)
  • Checking and where appropriate amending labour times, materials etc on work orders
  • Process site access (Airport’s, Prisons etc) requests and provide Risk Assessments and method statements engineering operatives. (as supplied by Senior Supervisor).
  • Timesheets, overtime and expenses processing.
  • COINS plant hire booking
  • Reconciling RBS Purchase Card Transactions
  • Liaising and negotiating with specified Travel Agent to book hotel and travel arrangements in advance, ensuring the most cost-effective solution in line with the companies travel policy.
  • Ordering PPE, Uniform & Equipment
  • Updating various trackers for managers
  • Filing and scanning of Business Unit Personal Information within GDPR Regs.
  • Labour & Material Audit Checks for commercial team.
  • Work collaboratively and flexibly with colleagues to provide the most efficient administration support function
  • Respect the importance of health and safety and contribute to the divisional health and safety targets
  • Identify and report Lean Initiatives
  • Support in the induction of new engineers
  • Support in the production of sales invoices/internal charges
  • Log all customer complaints/compliments
  • Complete all on-line mandatory training courses in a timely fashion
About You
  • Must be computer literate
  • Have a very good telephone manner
