Description and requirements

We are looking for anAdministration Supervisor to join our Building Services team on-site at Walsall Manor Hospital.

The purpose of the role is to lead the helpdesk team providing support services to the General Manager and Estates Management Team, ensuring that all aspects of the helpdesk/administration function are undertaken in a professional and customer focused manner.

40 hours per week Monday – Friday 8am-5pm

You’ll:

  • Ensure all contracts reporting and supporting evidence from the helpdesk is delivered in accordance with the Project Agreement
  • Manage the collation and dissemination of CAFM system/performance data including:
  • The production of the data reports required for the FS monthly hard FM performance report.
  • Support to management team in closing tasks from engineers and sub-contractors
  • Monitoring the payment mechanism and monthly failure report
  • Provision of statistical information as required by the management team
  • Collation of all CAFM data and paperwork
  • Be responsible for management of all records including, All required CAFM reports, PPM management, Training records for CAFM users, Subcontract PPM monitoring with management team support and control and support for all staff requiring CAFM related information.
  • Assist in the training of staff
  • Be responsible for satisfactory timekeeping, shifts or attendance of Helpdesk team members for contracted hours
  • Carryout performance reviews and/or support to the General Manager for the Helpdesk team as well as develop training plans and ensure that skills matrices are updated.
  • Handle Employee relations activities including Complaints and Compliments
  • Deploy and update all FS policies and procedures as requested

We’re looking for:

  • Possession of an administration qualification
  • Experience of working on a busy Helpdesk
  • Excellent communication skills
  • Supervisory experience (desirable)
  • Experience of working on a busy Helpdesk
