On behalf of our client in Cleveland we are recruiting an experienced and enthusiastic Administration Assistant for an exciting temporary role which runs until March 2022.

This vacancy is for 14.48 hours per week working a Wednesday and Thursday working as part of the Democratic and Administration team, you will provide and maintain efficient and effective administration and reprographics. An essential part of the role is supporting meetings, producing agendas and associated paperwork and recording and producing minutes.

The successful candidate must be a highly experienced minute taker and confident in the use of IT packages, particularly office 365. You will possess excellent communication and customer service skills through interaction with internal and external stakeholders and have experience of working both in a team and independently.

Job Description

Administrative Services
  • Provide an efficient and effective administrative service to a wide range of customers which includes support to meetings, producing agendas and associated papers and recording and producing of minutes.
  • Co-ordination and circulation of internal and external mail services, receiving, sorting, distributing and dispatching mail.
  • Ensure that documents for text processing and reprographics are delivered to the specification and timescales required.
  • Cover Reception, call handling as and when required
  • Enter job cards and audits onto the CFRMIS system within the specified timescales and inputting of information on other databases.
  • When required, provide a support service in the absence of the Executive Assistants.
  • In the absence of the Democratic and Admin Manager prepare requisitions for authorisation
  • Ensure the mail franking machine is sufficiently stocked.
  • Ensure printers are maintained and supplied with consumables.
  • Provide catering services in line with Health and Safety requirements.

Assist The Democratic And Administration Manager In The
  • Management of office equipment ensuring it is fit for purpose; ensuring regular maintenance checks are implemented.
  • Developing, designing, implementing and maintaining systems which support the effective running of the section
  • Maintaining appropriate levels of supplies, ordering of supplies and completion of an annual stock take
  • Development of staff
Corporate

  • Take part in Personal Development Reviews and complete Personal Development Records in accordance with Brigade procedure
  • Complete activity statements that reflect on own practice to identify any areas of personal or organisational development. Demonstrate ownership of Personal Development by maintaining accurate Personal development Records to support evaluation of own practice. Ensure that competence is maintained against role, and to attend any development programmes, seminars as required.
