Job Purpose

The role of the Legal Administration Apprentice is to provide a first class professional support service to all fee earners and the management team based in the Newcastle Office. The support provided will be as part of a small team with shared responsibilities and collective accountability. Legal Administration Apprentices will be expected to refocus tasks and priorities periodically as required by the fee earners and/or area of the Newcastle Office. The Legal Administration Apprentice reports to the Team Manager and is expected on a daily basis, to create a positive working relationship with the fee earner(s) and the management team alike.

Key Responsibilities

Facilities related duties

  • Completing daily visitors’ sheets


  • Manning the main Newcastle office telephone number


  • Maintaining a register of all visitors to Newcastle Office (internal and external) for tax and compliance purposes


  • Ordering stationery and supplies with appropriate approvals


  • Handling incoming and outgoing post and courier deliveries


  • Booking meeting rooms


  • Assist with coordinating internal track and trace information relating to Covid cases


  • In office tasks to support the Office Manager


  • Hosting and visitor hospitality


  • General housekeeping around the office

Management support duties


  • Admin support in organising training sessions


  • Travel and accommodation bookings


  • Meeting minute taking


  • Archiving, photocopying and scanning


  • Provide admin support to organising visits to the Newcastle office and assessment centres


  • To provide support with the generation of internal management and reporting information


  • Administrative support for invoicing and the processing of expenses


  • Completes tasks related to the coordination of staff absence


  • Proactively keeps up to date training records for the NCL office


  • Recruitment support and ID checks of new staff

Fee-earner and general administrative support


  • General administrative support for fee earners


  • Project Management Administration (uploading docs etc, sending meeting invites)


  • Platform Administration - Tidying sites - moving old data etc.

Billable duties


  • Billable work that is of an admin nature (bibles, originals)


  • Virtual Data Room: uploading and arranging documents into the order requested


  • Assist with document review work.


You will also need to:


  • Maintain acceptable progress towards attaining your Business Administration apprenticeship qualification


  • Complete your Business Administration Apprenticeship which you will be given 20% of your time to do this in work time.

Performance Standards

Legal Administration Apprentices will be assessed on the basis of their performance. Contribution will be measured according to the individual’s delivery against the core role categories identified below, together with additional objectives.
Key Requirements

Skills:

  • Good knowledge of MS Word, PowerPoint, Excel and Outlook


  • Organised and proactive approach


  • Strong interpersonal skills


  • Excellent written and verbal communicators


  • Is adapt in prioritising effectively and working to multiple deadlines


  • Has a positive and can-do attitude


  • Detail oriented


  • Have a strong commitment to undertaking training alongside the day to day role of Legal Administration Apprentices


Preferred Experience:


  • Dealing with and managing multiple tasks in multiple disciplines


  • Dealing with telephone queries


Qualifications:


  • GCSE’s (grade A-C or 9-4) including maths and English or equivalent
