About The Role

We have an opportunity for a Administration and Quality Support Officer to join our Radiopharmacy team, based in Keele.

Situated in the Keele University Science and Innovation Park, the site supplies radiopharmaceuticals to PET (positron emission tomography) imaging centres across the UK.

The role is permanent/fulltime and is 40 hours per week.

The role’s focus being split between Administration and Accounting with elements of Quality Support

The site has excellent transport links and free parking on site.

Duties & Responsibilities

The main duties of the role will comprise of:

  • Telephone management and receptionist.
  • Greet/host visitors and manage site entry and visitor induction.
  • Responsible for management of office supplies including supplier selection and best pricing. Supplier liaison management.
  • Opening, distribution and posting of mail.
  • Typing documentation management, filing and providing general office support, as required.
  • Provide office services support to staff including setting up of meetings and organising lunch/refreshments as required.
  • Liaise with facility & office support organisations to resolve faults.
  • Coordinate with the Comms Team to provide delivery updates to customers as required.
  • Raise and place POs with critical service suppliers.
  • Manage purchase orders (POs), matching goods receipts/delivery notes and invoices and issuing approved payments.
  • Assist with customer invoicing inquiries.
  • Perform reconciliation of supplier statements.
  • Verify the ADR courier delivery manifests from each courier company versus the manufacturing and distribution records.
  • Balance the monthly sterility/LAL testing invoices.
  • Coordinate with the accounts team at Head Office to manage monthly accruals.
  • Support the financial year end review including participation in audits.
  • Manage details of customer orders and supply for all five UK sites in the Customer Orders Spreadsheet and reconcile to ensure accuracy for invoicing and the management of key performance indicator systems
  • Monthly stock checks of production and QC materials.
  • Ordering stocks and consumables for production and QC.
  • Negotiate prices with suppliers.
  • Support the QA team with routines updates of policies and procedures within the Quality Management System.
  • Assist the QA team with documentation control including issuing, reconciliation and archiving.
  • Support the management of the on-site documentation archive.
  • Coordinate the off-site storage of GMP, Accounting and Radiation Safety documentation with Iron Mountain.
  • Assist the QA team with the maintenance of spreadsheets for tracking QMS activities and generations of KPIs.
  • Coordination of QA activities and meetings.
  • Support of ancillary tasks QA as required.
  • Responsible for following agreed safety procedures to ensure safety of yourself and others.

Skills and Experience

  • As a successful applicant you should be able to provide:

  • GCSEs including English and Mathematics.
  • Qualification in administration related subject or alternatively job-related experience.
  • Previous role in administration essential.
  • Previous experience in quality related duties preferable
  • Experienced in Microsoft Windows, Word, Excel and PowerPoint.
  • Good keyboard skills.
  • Professional appearance and manner with ability to deal with high profile visitors, supplier queries and ability to deal effectively with Alliance Medical personnel
  • Good interpersonal skills; personable.
  • Good organisation skills, timekeeping, and attention to detail.
  • Numerate/basic book-keeping financial skills.
  • Able to work on own; proactive including both defining and executing tasks.
