Summary

Purpose of Job

The outline of this role is to maintain the Purchase Ledger Accounts and ensure payments are processed within terms. Working within the accounts and construction teams to assist with the smooth running of costs, invoice and ledgers. Build good working relationships with other construction departments to ensure queries are resolved in a timely manner.



Key Duties and Responsibilities:

  • Manage and keep record on SAP system of materials delivery notes.
  • Keep updated rented machinery in & out records, cost and payments.
  • Produce and monitor payments certifications for subcontractors on a monthly basis.
  • Address and respond to vendor inquiries
  • Assemble, review and verify invoices and check requests
  • Flag and clarify any unusual or questionable invoice items or prices
  • Sort, code and match invoices
  • Set invoices up for payment
  • Post transactions to journals, ledgers and other records
  • Monitor accounts to ensure payments are up to date
  • Research and resolve invoice discrepancies and issues
  • Maintain vendor files
  • Correspond with vendors and respond to inquiries
  • Produce monthly reports
  • Assist with month end closing
  • Provide supporting documentation for audits
  • Maintain accurate historical records
  • Maintain confidentiality of organisational information

Skills, Knowledge and Experience

  • Minimum of 2 years’ experience in accounting related construction position.
  • Strong attention to detail with excellent written and verbal communication skills, a good telephone manner is essential and confident speaking with new people.
  • Must be competent using Microsoft Packages i.e. WORD and Microsoft Excel with ability to pick up new systems.
  • Proactive and able to use initiative
  • Willing to carry out any reasonable task as requested by a member of management.
  • A positive attitude and flexible to the needs of the business with ability to multi-task and prioritise workloads.
  • Committed to offering good customer service at all times with the ability to cope with the constant pressure of working within tight deadlines.

Qualifications

  • A full driving licence.
