Title: Accounts / Office Administrator

Reports to: Accounts Supervisor / Service Manager

Job Overview: The Accounts / Office Administrator will support the Accounts Supervisor by performing a variety of financial, administrative, and clerical tasks. This role is ideal for someone who is detail-oriented, possesses a strong aptitude for numbers & flexibility, and is eager to start their career in finance.

Key Responsibilities:

Sales Invoicing: Generate and issue invoices to customers, ensuring accuracy and timeliness.

Stock data uploads: Exporting & Importing csv files into databases daily.

Purchase Ledger Invoice Processing: Manage and process invoices from suppliers, verifying details and resolving discrepancies. Assist in processing records, receipts, and expenses.

Credit Control: Monitor debtor balances, ensure timely payments, and follow up on overdue accounts.

Sending Monthly Statements: Regularly prepare and send out statements to customers each month.

Filing: Maintain and organise financial documents and records, ensuring easy retrieval and compliance.

Administrative Support: Perform administrative tasks such as data entry, updating price lists, document management, and liaising with other departments. Where required, greeting visitors, answering phone calls and emails, ordering supplies.

Contract Co-Ordinating: Assisting with Administration aspects of some of our prestige client contracts, including data entry and raising purchase orders where required.

Ideally you will possess:

2 years of experience in a finance or administrative role.

Proficiency in IT & financial software such as Excel, Sage or ERP systems and Microsoft Office Suite.

Strong attention to detail and excellent organisational skills.

Good communication and interpersonal abilities.

Ability to handle confidential information.

Professional phone etiquette.

Willingness to be flexible within the role.

Alongside the above, you may be required to attend exhibitions over the year which may involve very occasional nights away. We are a small, yet, fast paced company therefore you are expected to work as part of a team and manage a busy workload effectively.

Hours:

Monday - Thursday: 8.30am-5.30pm, Friday: 8.30am-5pm

Occasional Saturdays (approx. 1 in 7): 9am-12noon as overtime.
