An exciting position has become available for a full-time Accounts Assistant and General Administrator who will be Office Based in Brighton. The successful candidate will ideally work 40 hours per week, although flexible working may be considered. The employer offers a competitive salary dependant on experience, starting at £27,000 p/a.

The successful candidate will assist in ensuring that records of all financial transactions are accurately inputted and maintained in a timely manner to meet with accounting requirements. Also to provide administrative support and office management duties as required.

Role Requirements
  • AAT or equivalent qualification would be ideal or a proven track record in book keeping and associated financial tasks
  • The candidate will ideally have experience in Sage or a similar accounting software
  • Have demonstrable relevant experience in office environment
  • Be assertive with ability to be proactive
  • Have good organisational and communication skills
  • Be a team player, have a positive work ethic with the belief that there ‘is always a way’, individually or through cooperation, to realise the end goal
  • Be presentable and polite
Role Responsibilities (not Limited To)
  • Provide administrative and office management support within the office and other ad-hoc duties as required
  • Follow cost centre accounting processes to ensure purchase invoices, bank payments, credit card payments, and petty cash payments are correctly coded, authorised, matched to relevant delivery notes and purchase orders, and entered onto accounting software.
  • Enter purchase orders onto accounting software.
  • Reconcile and maintain bank account, credit card account, and petty cash account, ensuring receipts and transactions match bank statements and accounting software.
  • Check and process staff timesheets and invoices.
  • Prepare supplier invoices from credit accounts in a timely manner for punctual payment.
  • Undertake file management and take responsibility for archiving of financial files.
  • Take responsibility for maintaining asset register.
  • Book meetings as required and take minutes.
  • Procure stationary, office and janitorial supplies.
  • Answer phones and forward calls and messages.
  • Work with Directors to organise staff training and company events.
  • Work with project managers to arrange accommodation.
  • Undertake scheduling and booking premises maintenance.
  • Maintain First Aid kits, ensuring required content is up to date.
  • Work with Directors to update and maintain the combined calendar and holiday calendar.
  • Undertake ad-hoc duties as required.
  • Comply with the company’s policies and procedures.
